    An operations virtual assistant handles the repeated work behind the business: written processes, project coordination, vendor management, recurring reporting, onboarding steps, and the follow-up work that nobody else picks up.     Coordination and approval: what the role can decide

    Coordination means the operations virtual assistant owns the tracking, the chasing, and the record of what was agreed. It does not mean they approve spending, sign contracts, or change scope on their own. The useful setup is a short written list of what they can do without asking, what needs a quick yes from you, and what stays with you entirely. That list should be agreed at the start and revisited once the working relationship has settled. The point is that work keeps moving when you are unavailable, without anyone guessing at authority they were never given.

    Compare the same scope: systems reviewed, records involved, workflows changed, testing, documentation and ongoing support. A headline hourly rate does not describe the total project cost. Ask whether the quote includes software subscriptions, paid add-ons and post-launch work, and confirm its currency. Location changes the rate you will be quoted, but it does not tell you how much responsibility the person will take on or whether the hours are used well, so compare quotes on scope first.     • ●Ask which operations tasks they will NOT take on. Generalists who say yes to everything usually deliver everything badly.
    • ●Ask what their typical first 30 days look like. The right answer starts with 'audit' and 'documented work plan'.
    • ●Ask what they would decide alone and what they would bring to you. The answer shows whether they understand approval limits.

    Yes, at the senior level. A senior operator who has done both CRM rebuilds and process documentation can cover both roles for a while. As the hours on each side grow, the depth required starts to specialize, and it is better to scope them separately than to stretch one person across both.

    Overlapping but not the same. A PM handles specific projects. An operations virtual assistant handles the recurring operations layer across all projects. You can hire both. Many businesses start with an operations virtual assistant and add project-specific PMs as the work demands it.

    It depends on the state of the processes and how quickly access and decisions come through.
