Keep the business moving without every question coming to you.

If you already have an assistant, a designer and a couple of contractors, but none of them can move forward without checking with you first, you end up managing everyone on top of running the business.

As your online business manager, I take that coordinating work off you. I run the weekly check-in with the team, keep the project list up to date, follow up when something is running late, and make the everyday calls we have agreed I can make on your behalf. Anything that affects pricing, hiring or the direction of the business still comes to you.

If this sounds like your week, it is worth a conversation:

    • Your assistant and contractors check with you before they can move anything forward.
    • Projects sit half-finished on the project board because nobody owns the next step.
    • The CRM or project board has become messy enough that people have stopped trusting it.
    • Every small decision waits for you, so the team slows down whenever you are busy.

    What I take on.

    Your assistants and contractors

I brief them, check in on their work, onboard new people when you need them, and help you hire when it becomes clear that a role is missing.

    Projects and launches

I run them from start to finish, whether that is a course launch, a website rebuild or a retreat, so there is one person who knows where everything stands.

    Client onboarding and delivery

I set up and look after the steps, so every new client goes through the same process and nothing depends on someone remembering to do it.

    The tools your team uses

I look after Keap, HubSpot, GoHighLevel, Notion, ClickUp and the rest. If the CRM or the project board has become messy, I clean it up.

    A Monday update

Every Monday I send you a written update covering revenue, the sales pipeline, where each project stands, and anything that needs a decision from you.

    You work directly with me.

I'm Valentina Akpan, and I do all of the work myself. There is no agency behind me, so the person you talk to on the first call is the person who runs your check-ins and writes your Monday update.

I'm based in Moncton, one hour ahead of Toronto, and I've worked with Ontario organizations including CUTRIC, HRAI and ClinicMonk. The Ontario page has the working hours and details for Ontario businesses.

“She works very independently and takes initiative. I don't need to regularly follow up with her to make sure things are getting done. She gets things done when she says she will, and we've never had an issue with her missing a deadline.”

    How the first month goes.

    01

I learn how the business runs

In the first week I look at the team, the tools and the work that repeats every week. I also talk to your main contractors, because they usually know where things get stuck.

    02

    We agree on a plan

By the end of the second week you have a written 90 day plan and a clear list of what I will take over first, so we agree on it before anything changes.

    03

    I take over the coordinating

In the third week the weekly check-ins begin, your contractors start reporting to me, and I tidy up the project board so everyone works from the same list.

    04

    The Monday update starts

From the fourth week you get the Monday update, and from then on that is how you keep track of the business without chasing people for answers.

    Questions people ask

An online business manager runs the day to day of the business alongside the owner. For my clients, that means managing the team and contractors, keeping projects on schedule, reporting on the numbers and looking after the tools. Pricing, hiring and the direction of the business stay with you.

A virtual assistant usually works through a list of tasks that you give them. As your OBM, I work out what needs to happen next, within limits we agree on, and I manage the people who do the work.

It suits coaches, consultants, agencies, course creators and other service businesses that already have a few people helping. If those people still come to you for every decision, that is the gap I fill.

No, I work alongside the people you already have. I bring in a contractor when a project needs one, and if I can see that a role is missing, I will tell you and help you hire for it.

I work in Keap, HubSpot, GoHighLevel, Pipedrive, Notion, ClickUp, Asana, Airtable, Kajabi, Teachable, Thinkific, Slack, Zapier and Make, among others. If your team uses something I have not worked in before, I will learn it.

I charge a flat monthly fee, which we agree before we start. The amount depends on the size of your team, how many projects are running and how much of the day to day you want me to handle. I will give you a number after our first call, once I understand the work.

    Tell me about your business.

Tell me a little about your team, what you sell, and what keeps pulling you back into the day to day. I read every message myself and reply within one business day.

If you would rather talk it through, book a free call at a time that suits you. The pricing page explains how the monthly support levels work.
