The useful question is which work needs attention and who will own it.
When the system needs attention
You may need technical support when forms send incomplete information, automations fail, records are inconsistent or a report is difficult to maintain. The scope should identify what will be reviewed, changed, tested and documented. A technically working connection still needs a clear business rule behind it.
When coordination needs attention
You may need operations support when tasks lack owners, handoffs are unclear, decisions remain outstanding or several people need someone to coordinate their contributions. Can one person cover both?
Yes, where their experience and available capacity fit the work. One person may coordinate onboarding and maintain the CRM steps behind it, for example. Team size or revenue alone cannot determine the right arrangement. Consider workload, complexity, specialist requirements and how much simultaneous coverage is needed. Larger teams can still bring in one person to own a defined area alongside existing staff.
What should the proposal explain?
Ask for named responsibilities, deliverables, decision limits, working hours and pricing. Confirm how additional work is handled and what documentation will be maintained.
