Virtual Assistant Companies in Canada: A Buyer's Guide (2026)

A guide to comparing Canadian and Canada-friendly virtual assistant providers by model, criteria and questions, rather than a ranking. Rellatech is one of the providers listed, so read it as a buyer's checklist, not a neutral review.

    Valentina, founder of Rellatech

Valentina Akpan: Founder of Rellatech, providing administrative and operations support to executives, founders, business owners and teams. Her background combines technical support, customer success, administration and operations.

    ·

Disclosure first: Rellatech is a virtual assistant and operations support provider, and I am the person who runs it. I am not a neutral reviewer of the companies below. What I can offer is the criteria I would use to compare providers if I were buying, the questions worth asking, and a plain description of the main providers you will find in a Canadian search, grouped by how they work rather than ranked by quality.

Sources: each provider's own website and published pricing page as I read them for this update. I have not used the other companies as a client and I do not publish figures I cannot stand behind, so there are no prices for other providers here. Plans and rates change, so check each provider's current pricing page before you compare. If you want to skip the shortlist, my Canadian virtual assistant page and pricing page cover what I do and what it costs.

    How to compare providers

Most 'best virtual assistant company' lists rank by opinion. A more useful comparison starts with the work and checks each provider against the same criteria. These are the ones I would use:

    • ●What the work is. General admin, executive support, and technical operations (CRM, automation, integrations, website upkeep) are three different jobs. Ask whether the provider does the specific work, and ask for an example.
    • ●Who does it. One named person, a dedicated assistant from a pool, or a rotating team. Each has a trade-off between accountability and coverage.
    • ●Where they are and when they work. Canadian time zones, Canadian holidays, and the overlap with your working day. Location alone does not prove skill, but it does set the hours.
    • ●How they are engaged. Employee of the agency, independent contractor, or the business owner themselves. This affects who is responsible for the work and how the provider handles tax and employment rules in their own country. Do not assume US employment terms apply to workers in Canada.
    • ●How they charge. Hourly, monthly hours package, flat monthly scope, or task-based. Confirm the currency and whether tax is included.
    • ●What happens when it goes wrong. Who you escalate to, how quickly they reply, and what the exit terms are.

Questions to ask before you sign

    • ●Can I speak to the person who will do the work before I commit?
    • ●What is the quote in Canadian dollars, and what does it include?
    • ●What is your working-hour overlap with my time zone?
    • ●Which tools have you used for this kind of work, and can you show me an example?
    • ●What is the notice period, and what happens to my documentation and logins when we stop?
    • ●Who reviews the work, and how do you handle a mistake?

The providers you will find, by model

The companies below appear in most Canadian searches for this term. I describe each by its published model, not by quality, and I have left out any figures I could not verify. Check each provider's own site for current pricing and terms.

Premium agencies with North American assistants

Boldly, Belay and Athena position themselves at the executive-support end. Boldly and Belay describe North American assistants. Athena describes premium executive assistant matching with overseas staff working North American hours. All three are US-headquartered. They will work with Canadian clients, but their employment, tax and cultural positioning is built for the US market, so confirm how they engage a Canadian client and whether the quote is in Canadian dollars. Their published focus is executive and administrative work rather than technical operations.

    Mid-market and pooled general admin

Time etc and Prialto describe pooled or managed-team models for general admin and repeatable sales support. Time etc is a US/UK company that offers hourly plans and monthly hour packages. Prialto describes managed teams with overseas staffing for high-volume, repeatable work such as lead research and CRM updating. Both publish their pricing on their own sites. Ask how assistants are assigned and whether you keep the same person.

    Canadian-owned agency

Virtual Gurus is Calgary-based and Canadian-owned, with a social impact hiring model that prioritizes underrepresented talent. It runs a marketplace model with assistants across general admin, marketing support and bookkeeping. It is the main Canadian-owned agency in this list, and its published pricing is on its own site. As with the others, ask about technical scope if your need goes beyond general admin.

    Budget and on-demand models

Wing Assistant, Magic and WoodBows describe lower-cost or on-demand models, generally with overseas staffing. Wing sells part-time and full-time assistant plans. Magic sells on-demand, task-based help without a dedicated assistant. WoodBows describes a hybrid model with US-based account managers and overseas assistants. These models suit well-documented, repetitive work. Check the published rates and confirm the hours overlap with Canada before you rely on them for anything time-sensitive or client-facing.

Rellatech, and why I am in this list

Rellatech is a Canadian solo studio, run by me, Valentina. I cover general administrative support (inbox, calendar, research, document prep, project coordination) and the technical side many virtual assistant agencies do not cover (CRM cleanup, automations, integrations, website maintenance). You work with one person across the whole engagement. It is the wrong fit if you need a team of ten assistants or round-the-clock coverage. Two examples of the work: the executive support case study covers coordinating a chief executive's calendars, meeting materials, correspondence and review requests, and the accounting onboarding pack case study covers turning working instructions into SOPs, a task inventory and an open-questions register for an accounting role. If you want a virtual assistant in Canada who also handles the systems, my virtual assistant in Canada page explains how I work, my hours and how to start.

    What affects the quote?

Compare the same scope: systems reviewed, records involved, workflows changed, testing, documentation and ongoing support. A headline hourly rate does not describe the total project cost. Ask whether the quote includes software subscriptions, paid add-ons and post-launch work, and confirm its currency. Rellatech's administrative and operations support starts from CAD $30 per hour. Specialist projects and ongoing monthly support are quoted according to the agreed responsibilities and workload.

Hiring support for a Canadian business

Confirm the currency of the quote, working-hour overlap, invoicing details and the experience relevant to your business. Ask about the tools and integrations the provider has worked with. Location alone does not establish technical ability or expertise in tax, privacy or regulated work. I am based in Canada and quote the starting rate shown on Rellatech in Canadian dollars. We confirm the scope, price and working arrangements before paid work begins.

    How to choose

Stop asking who the best virtual assistant company in Canada is. Ask three questions instead.

    • ●What is the work? Generic admin, executive support, and technical operations are three different jobs that require three different kinds of provider.
    • ●Who owns it? One senior person responsible end-to-end (a solo studio) gives you accountability. A pooled team gives you coverage. Pick the trade-off you need.
    • ●Where does your money go? An agency rate covers the agency's margin, management and the assistant's pay; a solo operator's rate pays the person doing the work. Neither is wrong, but the work product and the accountability are different, so ask each provider how the rate is split.

    FAQ

No. It groups providers by how they work and gives you criteria to compare them. Rellatech is one of the providers, so I do not rank the others.

Because I cannot verify them as of this update and they change often. Each provider publishes its own pricing page; check it directly and confirm the currency.

Usually the hourly rate is higher, because it pays someone working in Canada. Whether the total cost is higher depends on how much rework, management and time-zone gap you avoid. Compare the same scope, not the headline rate.

Administrative and operations support starts from CAD $30 per hour. Specialist projects and ongoing monthly support are quoted according to the agreed responsibilities and workload, and the scope and price are confirmed in writing before paid work begins.
