    5 Zapier Automations Every Course Creator Should Set Up This Week.

    The five flows I rebuild most often in course businesses, and what to check before building each one.

    Course creators repeat the same handoffs, emails, and spreadsheet updates every week, and most of that can run without the creator. Here are the five Zaps I build first.

    These are workflow patterns, not finished builds. The trigger and action names below are descriptive. Each platform's Zapier app lists what it supports on your plan, and those lists change, so confirm the route in Zapier before building. Treat each one as a suggestion to test in your own accounts, not as something I have verified in yours.

    1. New student welcome flow

    Trigger: new purchase in Thrivecart, Stripe, Kajabi, or Teachable. Actions: enroll them in the course platform, add to your CRM with the right tag, send a personal welcome from your inbox (not the platform), notify you in Slack.

    A welcome sent from your own inbox reads differently from a platform notification. Whether it changes completion is something to measure in your own course, not assume.

    2. Refund and cancellation cleanup

    Trigger: refund in your payment processor. Actions: revoke course access, remove from active student tag, add to a cancelled tag, log the reason in a Google Sheet for your monthly review.

    The cancelled tag matters: it stops winback emails going to people who just left. That removes one reason for a complaint; it is not a fix for sender reputation on its own.

    3. Lead magnet to nurture sequence

    Trigger: form submission (Tally, Typeform, ConvertKit form, Kajabi form). Actions: add to email list with a "lead-magnet-X" tag, deliver the freebie, drop them into the right nurture sequence based on which magnet they grabbed.

    The tag is the part most people skip. Without it, every lead gets the same email. With it, you can sell the right course to the right segment.

    Tags are the difference between a list and an audience.

    4. Course completion certificate

    Trigger: student marks the final lesson complete, where your course platform exposes that event to Zapier (check the trigger list for your plan). Actions: generate a certificate from a Google Slides template saved to Drive, email it as a PDF, add a "graduate" tag, and send a testimonial request a few days later.

    The short delay gives the student time to finish before you ask. Test the timing in your own course.

    5. Content repurposing pipeline

    Trigger: new YouTube upload, podcast episode, or blog post. Actions: log it in your content tracker, draft social posts in Buffer or Later, notify your virtual assistant, queue an email to your list.

    One piece of content becomes several touch points without you doing the legwork.

    Check the supported route before building

    Confirm the current trigger, action and account requirements in the platform's official documentation. Map the required fields and define what should happen for a successful event, a missing value, a duplicate event and a failed handoff. Test the agreed paths using an appropriate test method, then document the result and who will review exceptions.
