Every other week a business asks me which one to pick. The answer is "it depends," but the way it depends is predictable. This is how I decide.
The feature notes below come from my own use of both tools. Both change often, so confirm anything specific on Notion's help centre (notion.com/help) and ClickUp's help centre (help.clickup.com) before you decide. Last reviewed 5 September 2026.
Notion: a thinking tool that can do tasks
- ●Great for: SOPs, knowledge base, client portals, content planning, anything writing-heavy
- ●Loved because: it is beautiful, flexible, low-pressure, and pleasant to be inside
- ●Watch out for: recurring tasks, time tracking and automations have been its weak points in my use. Check the current help pages, because this changes.
- ●Best for businesses whose brain lives in docs, not Gantt charts
ClickUp: a project tool that can do docs
- ●Great for: client work, recurring tasks, time tracking, dashboards, team handoffs
- ●Loved because: it can do almost anything, with serious automation built in
- ●Watch out for: feature overload, the learning curve is real, can feel heavy for lean work
- ●Best for businesses who deliver client projects week to week
A 30-second decision rule
- ●Mostly thinking, writing, planning, content? Pick Notion.
- ●Mostly delivering client projects with recurring tasks? Pick ClickUp.
- ●Business doing both? Notion for the brain, a simple Trello or Asana board for the work.
The best tool is the one you will open every day.
How I decide: ownership, documentation, reporting
There is no universal winner. I ask three questions and the pick is usually clear.
- ●Task ownership: does every piece of work need a named owner, a due date and a status someone else can check? If yes, ClickUp. If the work is mostly yours and the list is short, Notion holds it.
- ●Documentation: is most of what you produce written, such as SOPs, client notes, plans and content? Notion is the better home for it. ClickUp Docs work, but they live inside a task tool.
- ●Reporting: do you need dashboards on workload, time or progress across people? ClickUp has that built in. In Notion each question needs its own database view, and time tracking is not native.
If you are running a team, an agency, or repeatable client deliverables, ClickUp earns its complexity. If your business runs on documents and you work mostly alone, Notion is the one you are more likely to keep open, and that is the metric that decides it.
