    Best CRM for Service Businesses: Keap vs HubSpot vs ActiveCampaign

    Three CRMs, three different philosophies. Below is where each one has fit in the service businesses I have set up, and how to check the fit for yours.

    Service businesses (agencies, coaches, consultants, law firms, contractors, course creators) usually narrow their CRM shortlist to Keap, HubSpot, and ActiveCampaign. All three can capture leads, run a pipeline, send emails, and automate follow-up. The differences show up in pricing, invoicing, reporting, and how much setup work each one needs before it earns its cost.

    This is the comparison I run for clients when they are stuck between the three. No affiliate links. Plan names, contact tiers and add-ons change often, so I have not printed a price table. Check each vendor's pricing page on the day you decide. Last reviewed 5 September 2026.

    How to compare the pricing

    Headline pricing hides what you pay once the CRM does what you need. All three price by plan tier and contact count, and the features service businesses want are often sold as a higher tier, a separate hub or an add-on.

    • ●Keap: priced per plan and contact tier, with automation, pipeline, quotes and invoicing in the product. Ask which plan includes the automation builder you need and what extra contacts and users cost.
    • ●HubSpot: the free and starter tiers are inexpensive but limit automation. The workflows most service businesses want sit in a paid Marketing Hub or Sales Hub tier, priced per seat and per marketing contact. Ask for the tier that includes workflows at the contact count you need.
    • ●ActiveCampaign: priced per contact tier, and the sales pipeline has sat above the entry plan. Ask which plan includes pipeline and the automation features you need at your contact count.
    • ●Compare all three at your contact count today and at the count you expect in a year, including every add-on, in your currency.

    Lead capture and pipeline

    • ●Keap: strong native forms, appointment booking, and a simple pipeline that connects to invoicing. Fastest path from lead to paid in my work.
    • ●HubSpot: the most mature pipeline in the group, with custom properties, deal stages, and forecasting. Also the most work to set up correctly.
    • ●ActiveCampaign: a functional pipeline, but designed as a companion to email automation, not the main event.

    Email and automation

    All three can automate. The philosophies differ.

    • ●ActiveCampaign: the most flexible automation builder of the three in my experience. Conditional content, event tracking, and dynamic segments are its strengths.
    • ●Keap: the campaign builder is powerful once learned, and the automation ties directly into invoices, tags, and appointments. The learning curve is real.
    • ●HubSpot: workflows are clean and easy once you are on a tier that includes them. On lower tiers automation is limited.

    Invoicing, quotes, and payments

    • ●Keap: native quotes, invoices, subscription billing, and payment processing built in. This is the most common reason the service businesses I work with pick it.
    • ●HubSpot: quotes exist, invoicing is basic, and most clients bolt on Stripe or QuickBooks.
    • ●ActiveCampaign: no native invoicing. You will pair it with Stripe, ThriveCart, or a bookkeeping tool.

    Reporting

    • ●HubSpot: the strongest reporting in the group. Custom dashboards, attribution, and revenue reporting.
    • ●Keap: dashboards are basic but adequate for owner-operator businesses. Sales analytics improves on the higher tier.
    • ●ActiveCampaign: email and automation reporting is strong. Pipeline and revenue reporting is basic.

    Which one fits which service business

    These are starting points from client setups, not verdicts. Score each platform against your own requirements before deciding: records, pipeline, invoicing, reporting, who maintains the automations, and the tools that must connect.

    • ●Coaches and consultants selling packages: Keap. Native invoicing plus follow-up automation is the shortest path to paid.
    • ●Agencies with a sales team: HubSpot if the budget is there, Keap if it is not.
    • ●Course creators and membership businesses: ActiveCampaign, paired with a checkout tool.
    • ●Law firms, financial advisors, contractors: Keap. Invoicing built in, and the pipeline stays simple. Check your own regulator's data requirements against each vendor.
    • ●Fast-scaling B2B service company: HubSpot. Reporting and pipeline maturity pay off.

    Setup time and hidden cost

    The tool cost is only half the equation. Setup and ongoing admin is the other half, and the hours follow the scope: how many pipelines, tags, campaigns and integrations you are building, and how clean the data you are importing is. HubSpot has needed the most configuration in my work, ActiveCampaign the least, and Keap sits between them, but a universal hour count would be a guess. A CRM that is set up wrong costs more than the licence.

    What affects the quote?

    Compare the same scope: systems reviewed, records involved, workflows changed, testing, documentation and ongoing support. A headline hourly rate does not describe the total project cost. Ask whether the quote includes software subscriptions, paid add-ons and post-launch work, and confirm its currency. Rellatech's administrative and operations support starts from CAD $30 per hour.     FAQ

    It depends on your contact count and which features you need. ActiveCampaign has tended to be cheapest for contact-heavy, email-driven businesses, Keap when invoicing and pipeline matter as much as email, and HubSpot the most expensive once automation is switched on. Get all three quotes for the same scope and check the pricing pages on the day you decide.

    HubSpot has the most mature pipeline features. Keap has the most practical pipeline for owner-operated service businesses because it connects directly to quotes and invoices.

    Yes. Contacts, tags, and email history export from all three. Automation logic does not migrate and needs to be rebuilt.

    Not required. A consultant is worth it when the cost of a bad tag structure, duplicate contacts or a broken automation is higher than the cost of setting it up correctly the first time. That is the work I do at Rellatech, and it is scoped and quoted per project.
