An Infusionsoft cleanup starts with understanding what your account does. Tags with no contacts, quiet campaigns and old integrations can still have a purpose. Use this checklist to identify what needs attention before deciding what to merge, archive or remove.
Record your findings first. Before implementing changes, review dependencies, preserve the available records and configuration details, and agree on a test plan.
Contacts and data
- ●1. Review possible duplicates. Check purchase history, activity and other relevant records before deciding whether contacts should be merged.
- ●2. Check field consistency. Look for inconsistent names, phone formats and values that affect segmentation or reporting.
- ●3. Review consent and suppression records. Identify missing or conflicting information before changing who can receive messages.
- ●4. Define an inactive-contact policy. Consider customer status, transaction history and business needs alongside engagement. Do not apply an arbitrary deletion cutoff.
Tags
- ●5. Create a tag inventory. Record tag names, categories and their known purpose.
- ●6. Trace tag dependencies. Check how campaigns, forms, integrations and reporting use a tag before changing it.
- ●7. Review overlapping tags. Decide whether similar names represent the same thing before planning a merge or replacement.
- ●8. Document the naming convention. Give the team a shared method for creating and maintaining tags.
Campaigns
- ●9. Map important entry points. Identify how a contact enters each priority campaign and what conditions must be met.
- ●10. Review messages and timing. Check links, personalization, delays and whether the content still matches your current offer.
- ●11. Check exits and handoffs. Confirm how a contact stops receiving a sequence or moves into the next process.
- ●12. Review quiet campaigns in context. Establish whether they are seasonal, occasional or obsolete before proposing a pause or archive.
Integrations and checkout
- ●13. List connected tools. Record the purpose and owner of each integration, plus the information it is supposed to pass.
- ●14. Investigate failures. Review available logs and identify the cause before retrying, changing or disabling a connection.
- ●15. Test lead capture. Submit an agreed test and check the destination record, mapped fields and expected follow-up.
- ●16. Test the purchase handoff. Use an appropriate test method to check the order, contact record and intended fulfilment or onboarding.
Reporting and handover
- ●17. Check key reports and saved searches. Confirm that their definitions still match the business process and account structure.
- ●18. Create a maintenance record. Document approved changes, test results, unresolved issues, owners and the next review date.
Decide what to fix first
Prioritize problems affecting active customer journeys: missing lead follow-up, payment-to-onboarding failures, or messages reaching the wrong people. Then work through naming, documentation and lower-impact housekeeping. Group connected changes together so you can understand and test their effect, and keep a record of what changed and why.
